Using Dean's Office Mail

Note: As part of Collaboration Services, Weinberg IT will be transitioning mail servers which will require your email client to updated. Weinberg IT is working to make this process as undistruptive as possible and will be contacting you when more information is available.

There is a separate mail server, zammis.wcas.northwestern.edu, for those faculty and staff working in the Dean's Office and the Office of Undergraduate Studies and Advising.
Mail may be handled with an IMAP client such as Delete(Thunderbird or) Outlook or on the web. Instructions are below for the web client and for creating a vacation (away) message.

Instructions for Accessing the Dean's Office Web Mail

  1. In your web browser, go to webmail.wcas.northwestern.edu
  2. Login using your NetID and password.
  3. The default mailboxes on the web mail client are Inbox, sent mail and Trash. If you would like to see your other mailboxes
    a) Choose "Folders"
    b) Under "Unsubscribe/Subscribe", choose the mailbox you would like from the list on the right and click "subscribe"
    c) Click "refresh folder list" and you should see the folder listed
    d) Go to any folder
Using Vacation Messages (Dean's Office Mail)

Note: The vacation system updates every 30 minutes, so it may take up to 30 minutes for your vacation message to start or stop.

To set a vacation message:

  1. Make a mail folder titled vacation-msg. The following steps describe how to do this in Thunderbird. If you use an alternate e-mail client and do not know how to create a new folder, please contact your Weinberg IT support person for assistance.
    1. Right-click on your wcas.northwestern.edu e-mail account (please note that it does not necessarily say xxx@wcas.northwestern.edu), which is shown in the left pane above your mailboxes.
    2. vacation1

    3. Choose New Folder.
    4. vacation2

    5. In the Name: field, type in "vacation-msg". Click OK.
    6. vacation3

  2. Compose a message, the body of which is the vacation reply that you would like to use.
  3. Send yourself that message.
  4. Copy or move that message to the vacation-msg folder.

Be aware that the vacation-msg folder MUST be kept empty when you are not on vacation. If there is any email in this folder, the vacation system will identify you as being on vacation.

To go off of vacation:

  1. Delete all messages from the vacation-msg folder.

If you have any trouble setting this up, please submit a service request ticket to your Weinberg IT support person.
